Find the actual agreementSeparate the service from the subscriptionAsk for an alternative scopeQuestions for providersFind the actual agreement
Collect the signed terms, schedule of services, renewal correspondence and any variations. Record the stated renewal date and notice requirements. If the wording is unclear or disputed, get advice on the actual agreement rather than relying on a general article.
Separate the service from the subscription
List what was delivered during the last period: visits, advice, training, software access and reports. Identify what you used and what remains outstanding. A bundled service can be useful, but its value depends on your needs and what is actually delivered.
Ask for an alternative scope
Ask for an itemised renewal alongside the existing package. Compare the same period and the same deliverables. Include access to existing records, transition work and any charges you would incur when changing provider.
Questions to include in your quote request
Send the same brief to each provider, and ask them to identify assumptions and exclusions in their reply.
- What are the term, notice process and renewal arrangements?
- Which services did we use last year?
- Can we change the scope or buy individual services?
- How do we obtain our reports and records if we leave?
