Using the finder
Common questions are matched in your browser. When a description needs AI interpretation, it is sent to our server and OpenAI. The request asks OpenAI not to store the response; provider security and abuse-monitoring policies may still apply. Do not include sensitive personal information, customer details or confidential documents.
The application does not save finder descriptions in its database. A description entered on the home page is kept briefly in browser session storage to transfer it to the finder, then removed. Plans and ticked items remain in the current page unless you download, copy or choose to save a plan on this device. An explicitly saved plan stays in this browser’s local storage until you remove it or clear browser data. Quote-comparison figures stay in the page and are not sent to our server.
Making an enquiry
We collect the name, email, business name, optional postcode, subject and message you submit, together with the submission time and a record of your agreement to be contacted. This is used to review and respond to the enquiry.
Enquiries are stored in a restricted Cloudflare D1 database in the EU. We use them to respond to your request and take the steps you have asked for, relying on our legitimate interests in running and responding to enquiries. Provider marketing about Vivid Planner requires the separate opt-in. We do not share your details with a supplier without agreeing the introduction with you.
Cookies, security and retention
This site does not use advertising cookies or analytics trackers. It uses session storage for the finder hand-off and local storage only when you choose to save a plan. Our server stores short-lived hashed rate-limit records to limit abuse.
Enquiry records are kept for up to 12 months from submission, unless you ask us to delete them sooner or we need to retain a record for a legal obligation. Cloudflare provides hosting and storage; OpenAI processes descriptions submitted to the finder. These providers may process technical and security data outside the UK under their applicable data-transfer safeguards.
Questions and rights
Buyer Notes is optional and separate from enquiries or Vivid Planner marketing. When enabled, Resend processes subscription confirmation and email delivery. We store your email, consent version, confirmation status and hashed management tokens. Pending requests expire after 24 hours; confirmed subscriptions remain until you unsubscribe. Unsubscribing removes the subscription record. Email providers may retain delivery and security logs under their own policies.
Email whatcompliance@vividplanner.com to request access, correction or deletion of your information, object to its use, or withdraw a marketing choice. Include enough information to find your record, without sending sensitive documents. You can also raise a concern with the Information Commissioner’s Office (ico.org.uk).
